Soft cotton, hand block-printed in Sanganer, and actually breathable in May.&#8221;<\/p>\n<\/blockquote>\n\n\n\n<p class=\"wp-block-paragraph\">Both are correct. Only one sounds like a person. And the second one does more selling: it&#8217;s specific, it&#8217;s local, and it answers the question every customer has in summer.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The difference is voice. When one person writes everything, a brand sounds consistent by accident. The moment a second person, a freelancer or an AI tool starts writing, it doesn&#8217;t. You end up sounding like three different companies.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A brand voice guide fixes that. It shouldn&#8217;t be a 40-page PDF. One page that anyone can read in five minutes is far more useful, because people actually read it.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Is this worth an afternoon? Yes.<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Tone isn&#8217;t decoration. The Nielsen Norman Group tested pairs of almost identical web pages where only the tone changed. Tone measurably affected how <em>friendly<\/em>, <em>trustworthy<\/em> and <em>desirable<\/em> people found the organisation. Casual, conversational and enthusiastic tones did best in their tests, and how trustworthy a brand seemed was a strong predictor of whether people would recommend it (<a href=\"https:\/\/www.nngroup.com\/articles\/tone-voice-users\/\">NN\/g<\/a>).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That doesn&#8217;t mean everyone should be casual. A hospital shouldn&#8217;t sound like a streetwear brand. It means tone is a choice with consequences, so make it on purpose.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A quick definition before we start. <strong>Voice<\/strong> is your personality, and it stays the same everywhere. <strong>Tone<\/strong> is how that personality adjusts to the moment. You&#8217;re more playful in a Reel than in a reply to an angry customer, but it&#8217;s still recognisably you.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 1: Place yourself on four scales<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">NN\/g describes tone along four scales (<a href=\"https:\/\/www.nngroup.com\/articles\/tone-of-voice-dimensions\/\">NN\/g<\/a>): formal to casual, serious to funny, respectful to irreverent, and matter-of-fact to enthusiastic.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Give yourself a number from 1 to 5 on each. A physiotherapy clinic might be casual 3, funny 2, irreverent 1, enthusiastic 3: warm, but never jokey about someone&#8217;s pain. A streetwear label from Bengaluru might go 5, 4, 4, 5. Neither is wrong.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 2: Write three &#8220;we are\u2026 not\u2026&#8221; lines<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">These are the heart of the guide, because they draw a line on both sides:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>We&#8217;re friendly, not over-familiar.<\/li>\n\n\n<li>We&#8217;re confident, not boastful.<\/li>\n\n\n<li>We&#8217;re simple, not simplistic.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Add one real example sentence under each, so people can see what you mean.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 3: Words to use, words to avoid<\/h2>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><thead>\n<tr>\n<th>We say<\/th>\n<th>We don&#8217;t say<\/th>\n<\/tr>\n<\/thead>\n<tbody>\n<tr>\n<td>&#8220;book a slot&#8221;, &#8220;WhatsApp us&#8221;<\/td>\n<td>&#8220;leverage&#8221;, &#8220;synergy&#8221;, &#8220;solutions&#8221;<\/td>\n<\/tr>\n<tr>\n<td>the words customers use for their problem<\/td>\n<td>our internal jargon and product codes<\/td>\n<\/tr>\n<tr>\n<td>specific numbers (&#8220;delivered in 48 hours&#8221;)<\/td>\n<td>vague claims (&#8220;fast turnaround&#8221;)<\/td>\n<\/tr>\n<\/tbody><\/table><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">The best source for the left column is your customers. Copy their exact phrases from reviews and WhatsApp chats. If they say &#8220;tiffin&#8221; and you say &#8220;meal subscription&#8221;, you&#8217;re the one who has to change.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 4: Rewrite three real posts<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Nothing teaches voice like a before and after. Pick three things you&#8217;ve actually published and rewrite them:<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><strong>Before:<\/strong> We are pleased to announce the launch of our new range of premium skincare solutions.<\/p>\n\n\n<p class=\"wp-block-paragraph\"><strong>After:<\/strong> Our new sunscreen is here. Write the rule down so nobody has to guess. For example: English captions on Instagram, Hinglish is fine in Reels and on WhatsApp, and Marathi for Ganeshotsav posts.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The one-page template<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Copy this and fill it in:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Who we talk to<\/strong>: one or two plain sentences about your customer.<\/li>\n\n\n<li><strong>Our voice in three lines<\/strong>: we&#8217;re ___, not ___ (three times).<\/li>\n\n\n<li><strong>Tone scores<\/strong>: formal\u2013casual <strong>\/5, serious\u2013funny <\/strong>\/5, respectful\u2013irreverent <strong>\/5, matter-of-fact\u2013enthusiastic <\/strong>\/5.<\/li>\n\n\n<li><strong>Words we use \/ words we avoid<\/strong>: five of each.<\/li>\n\n\n<li><strong>Three before\/after examples.<\/strong><\/li>\n\n\n<li><strong>Channel notes<\/strong>: one line per channel.<\/li>\n\n\n<li><strong>Language rules.<\/strong><\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Put it where people write<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A voice guide in a Google Drive folder nobody opens does nothing. Pin it in your team&#8217;s WhatsApp group. Paste it at the top of every brief you send a freelancer. Give it to any AI tool you use, too.
